Billing schedule and payment terms

- Accounts for Tuition Fees, Boarding Fees, State Payroll Tax Surcharge and Consolidated Charges are rendered in three equal instalments. For students who commenced at the School before 2015, instalments are rendered in February, May and August 2026. For new and existing students who commenced in 2015 or later, instalments are rendered in October 2025, February 2026 and May 2026. Fees are payable within 14 days of an account being rendered.
- Monthly instalment option: a 9-month instalment plan is available (payments must be by direct debit and completed by 30 June); example 2026 monthly instalments run from 25 October 2025 through 27 June 2026. Direct debit or card declines may attract an administration fee (AUD 50).
- Lump-sum discount: a 1.75% discount on the net Annual Tuition Fee, State Payroll Tax Surcharge and Consolidated Charges is available for payment of the full year by specified deadlines (different deadlines apply depending on commencement year).

Payment methods and surcharges

- Accepted payment methods: BPAY (preferred), online payments by Visa, MasterCard and American Express (AMEX), and phone payments by Visa, MasterCard and AMEX. Cash and cheque payments are not accepted. Credit card transactions (other than BPAY) incur a credit card surcharge. Declined debit/credit card transactions may incur an administration fee of AUD 50. Monthly instalments require direct debit and declined direct debits may incur an administration fee.

Other costs and charges

- Consolidated Charges: a Consolidated Charge is billed with each instalment to cover compulsory extras by year level (for example: student diary, class-set books and materials, films, year-level camps, prescribed excursions and incursions, certain technology resources excluding personally prescribed iPads/laptops for Years 7–12). The Consolidated Charge does not include uniforms, books and stationery on the year-level booklists, or personally prescribed devices. Portions of the Consolidated Charge may be non-refundable.
- Uniforms, books and stationery: uniform costs are additional and are not included in fees; year-level booklists are published annually and are ordered through the School's supplier (indicative cost range for booklist items is published as a guide). Students in Years 7–12 are required to obtain a laptop; an indicative laptop cost range is AUD 1,500 to AUD 3,000 and an indicative booklist cost range is AUD 500 to AUD 1,000. Optional third-party services (for example: private music tuition, after-school care, bus services) are billed separately and are generally rendered at the end of each term. Voluntary building-fund contributions may be requested on instalment statements (tax-deductible).

Refunds, absences and enrolment changes (key points)

- Confirmation of Enrolment Fee components (Enrolment Fee and pre-payments) are non-refundable and non-transferable except as expressly stated for the ELC pre-payment (ELC pre-payment is credited on completion of Prep; otherwise non-refundable).
- Extended illness/injury: a pro-rata rebate of Tuition Fees (maximum of one term's fees) may be provided if a student is absent through illness or injury for 20 or more consecutive school days in a single year, subject to medical certificates.
- Planned absences and leave: no general discounts for planned absences (including extended family holidays) except as specifically set out. Where a student will be absent for a full school year, a 50% Leave of Absence holding fee may be applied in lieu of full fees (application and approval required).
- Withdrawals: one full term's written notice is required to withdraw a student; if one full term's notice is not given, an amount equal to 25% of the annual Tuition Fee, State Payroll Tax Surcharge, Consolidated Charges and Boarding Fee (if applicable) is payable in lieu of notice. For withdrawal from boarding only (while remaining enrolled as a day student), two full terms' written notice is required or 50% of the annual Boarding Fee plus the applicable State Payroll Tax Surcharge is payable in lieu of notice. Outstanding fees become immediately due on withdrawal.

Caulfield Grammar School is a multi-campus independent co-educational day school in Australia, spanning Early Learning to Year 12 with a K–12 curriculum and IB. Across Caulfield, Malvern, Wheelers Hill and Shelford campuses, learning is coordinated; from Year 7 onward, students access a program including Product Design and Technology, Systems Engineering and Year 9 Robotics. The Senior School follows the Victorian VCE with more than 40 subject choices; students complete at least 22 units, including four English units and three sequences of level 3/4 units. Acceleration options enable a three-year VCE pathway. The school was established in 1881 and has a rural Outdoor Education campus at Yarra Junction (opened 1947) and an overseas campus in Nanjing, China (opened 1998). The Shelford Campus will open in 2027. Boarding is available from Year 9 at Caulfield Campus. Facilities include a 50m pool, a 500-seat Cripps Centre theatre, and extensive arts and performing spaces.
