Billing schedule & payment terms
- Academic year structure and billing: fees are organised around the school terms; parents must pay tuition according to the Academy's term schedule. Deadline for tuition payment is two weeks after the beginning of each term.
- Seat reservation and continuity: the seat‑reservation fee is paid when requested and is deducted from the Term 1 tuition; seat‑reservation and registration/entrance charges are non‑refundable. Existing‑student continuity (down) payments are handled as part of the first term tuition to secure re‑enrolment and are non‑refundable in cases of withdrawal.
- Mid‑term admission and withdrawal rules: if a student is admitted in the first half of a term, a full term fee is charged; if admitted in the second half, half of the term fee is charged. If a student withdraws before the end of the first month of a term, charges are applied for the days attended (plus the continuity fee as applicable); if withdrawal occurs after one month from term start, the full term fee is charged. Final clearance requires settlement with the Accounting Department.
- Bus / transport billing: bus fees are due at the beginning of each term, or may be paid in full for the year at the start of the academic year (discount as published by the school).
- Exam and external fees: international examination fees (IGCSE/AS/A‑levels where applicable) are not included in the tuition figures and are charged separately. Students may not be permitted to sit external examinations until exam and outstanding school fees are fully paid.
Boarding fees
- Boarding is not applicable. Al‑Arqam Academy operates as a day school for girls and does not publish any boarding/residential fees.
Other costs and typical additional charges
- Uniforms: uniform and sports kit are required; uniform items are available to purchase from the Academy (parents purchase uniform items separately).
- Textbooks and library: the Academy uses a loan‑book policy for many British‑curriculum textbooks. Replacement/damage charges apply: typical published charges include QAR 200 per damaged/lost textbook and QAR 100 for lost/replace library books; end‑of‑term reports or textbook issue may be withheld until books are returned or paid for.
- ID cards and incidental charges: an additional student ID card may be purchased (school sets the replacement amount). The school may recover costs for damaged school property and charge for lost items as listed in the handbook.
- Optional activities and trips: field trips, voluntary camps and many co‑curricular activities are charged separately and require prior payment in the specified manner.
Refund information and withdrawal rules
- Entrance/registration and seat‑reservation fees are explicitly non‑refundable. Continuity (reservation/down) payments taken to secure the following year are non‑refundable in case of withdrawal. If a student withdraws early in a term, the school's withdrawal rules determine the charge (see mid‑term/withdrawal rules above). Final clearance on withdrawal requires settlement with the Accounting Department and provision of a no‑objection letter from the receiving school.
Fee payment options
- Accepted payment methods (currency and channels): all payments must be made in Qatari Riyals (QAR) and the handbook lists accepted channels as cash, cheques or credit card. Accounting‑office settlement and receipts are required for all financial transactions and for final withdrawal clearance.
Notes for parents (practical points)
- Published tuition figures above are the Academy's official per‑grade annual amounts; per‑term instalments shown are the annual fee divided into three equal term payments for convenience.
- The Academy requires account settlement before report cards, external exam entry, or re‑enrolment processes are completed; missed payments may block access to services and affect continuity of registration.
